Minutes
from thr previous meeting read and approved. Shauna Hatch
expressed
concern about sending out the minutes to every
meeting without BOD approval.
Decision was made to email
the minutes to the BOD for approval. Then a
mailing
could go out.
Resignation letter from Scott Evans
read. BOD discussed and accepted the
resignation
as of Jan 31st, 2006
Discussion of a replacement.
The members at the general meeting have
approved a
change in the by-laws to allow the BOD of directors to appoint
new
officers when a vacancy occurs after the elelctions. Several names
were
discussed. It was decided that since the two
names voted on at the general
meeting were Scott Evans
and Mike Gardner, and since the voting was very
close,
Mike Garnder would be the logical replacement. Concern was
voiced
that he may be pushed very hard with
chairing the sale as well. Mike felt
he could
accomplish it.
Mike Gardner and Shauna Hatch were the two
nominated for Vice-president, but
Shauna said she would
rather stay as secretary. After discussion, Susan
Munson
was appointed as Vice-president. She has many years experience in the
club. A 1-year BOD position was then
left open. Several names were
presented and
discussed. Jordan Gardner was the choice and he accepted the
position. He had been nominated as a board member
at the general meeting.
The board felt he would
give a good balance to the BOD.
BOD discussed
changing a previous ruling about donated leadline awards. It
was
decided that members would be allowed to donate tose awards. No one
would be asked, but anyone who wanted to provide
leadline awards for a show
should be allowed.
Leadline classes have the highest cost. JoJo Lindstrom
offered
to provide leadline awards for the shows that did not have another
donor. Anyone who would care to donate any
leadline awards would be
appreciated.
The
judge for the first show will be Terry Paine, his wife will be the
ring
steward and will not charge for her services.
This will save the club a
substantial sum. This
first show will NOT be held in Nephi. The facility
is
booked heavily throughout the spring and summer. That facility will
be
checked for a possible later show. Nicole
Blackhurst has agreed to judge
the trail class.
This show will be in Santaquin. The BOD approved both
judges.
Judges - JoJO reported that
getting judges is quite difficult. There are 8
to
choose from. Getting a non-carded judge amounts to getting that
judge
carded. 2 judges have let their cards lapse
because they are unable to
judge weekend shows.
Club members are asked to help find potential trail
judges.
That is proving to be difficult. Trail judges will have a
limited
time for that class and are paid $50. The
class will not be allowed to run
past 5:00. The
class will be run from 2:00 to 5:00 and no later. Trail
judges
do not have to be carded.
The club needs to really
work on our hospitality for our judges. Someone
needs
to be in charge of taking the judge to lunch and getting them drinks
during the day. Members need to be aware of
participants protacol. Threat
the judges with
respect. Sportsmanship is the order of the day!
Show
Secretary - Looking back at previous years, the show secretary was
paid
$100/show. The money usually went back for
entries. That money will need
to come directly out
of club funds. There is a 2 week window after each
show
to submit the records. That includes the floppy disk, printed
results,
master sheet, judges cards, measurements, etc.
The secretary needs to
receive the entries, figure the
tabs, (not colltect them) prepare the judges
cards, have
the results signed by the show manager and an officer, list the
inspecotrs, keep track of the adds and scratches, send
in the results to the
national office. A show
packet is sent for each show from the national
office
with all the requirements. Shauna hatch had spoken to three
people
about being a show secretary. They
indicated they would charge $200/show,
but they were
also uncomfortable with the idea that their integirity would
be
questioned. Scott Woodward offered to chair the show secretary
position.
It is open to any member at $150/show
The show secretary will also need to
get the show
packets out. Craig and Sracy will be happy to teach the
program to the secretary.
Club members
need to be reminded that to show in Uah POA shows they must be
a
Utah member. To show in Regional shows they must be a national
member.
Those who are not national members will not have
their local points
recorded with the national
office.
The first show will be held at Santaquin.
This will be May 27th. Scott Evans
is the show chairman
for this show.
The second show is looking for a venue.
June 17th. Scott Woodward will
check on the Alpine City
arena for availability and cost. Shauna hatch will
chair
this show. The second show will be the family rate show.
Cost will
be $50/family + fees or $3.00/class +
fees.
The September show needs a venue, Susan will check
with Genola as a
possibility.
Shauna hatch
will check on Lindon for the fun show.
The BOD would
like 2 pictures to go in the magazine each month. One for the
youth and one for the club. Shauna Hatch will send the
club letter. Club
members are asked for
input.
Discussion on lead-line classes for the
classic. All BOD members felt the
lead-line classes
should be increased at the classic. Those who came down
for
the regional have expressed interest in more of the same classes at
the
Classic.
Justin and Mindy Rose have
agreed to chair the Horse Expo. There is a grant
available
from POAC to help with the cost. It was agreed the club had good
exposure last year. Our tentative day is Saturday
at noon this year, March
11th. Club members are
encouraged to sign up to help.
Year end awards will
be headed by Cheryl lady, JoJo Lindstrom anf Stacy
Ercanbrack.
Club members are encouraged to sign on to help.
Club
members are strongly encouraged to sign up to help with individual
shows. Help is needed for gates, patterns, trail set up,
stewards, jumps and
set up, all take downs, stewards,
announcing.
Mike Gardner will be show manager for the
slae and the Rocky Mountain
Regional. Craig
Ercanbrack and Ross Bradford will help. Shauna Hatch will
announce. Any others who would be willing to help
are asked.
Clinic - JoJo will plan clinics.
They will have limited entries and lots of
help.
Those discussed were a pattern clinic and a beginning jumping clinic.
Cost will try to be kept to $20/person. Last year
the clinics broke even.
Club members are encouraged
to sign up for any and all sections of our POA
club.
Horse Expo, clinics, show secreatary, shows, Rocky Mountain Regional,
donations for leadline awards, finding awards for shows,
year end awards,
sale, futurities.
Mike
Gardner presented another format for the George Bishop Futurity.
Possibly held in conjuction with the Rocky Mountain
Regional.
Classes would be
#1 Yearlings
(halter, lungeline, trail)
#2 2 -3 year olds (Western,
English, Trail )
#3 3,4,5 year olds (Western, English,
Trail)
Classes would be judged and an all around winner
in each age group would be
awarded. Colts,
fillies, and geldings would be judged together.
Entries:
Early entries: $30/pony (includes all 3 classes)
Regular entries $50/pony
Late entries $70/pony
Bod felt this should be worked
foreward. See if it can be added to the
Regional at this
point. Check with the national office. Mike would call
the office the beginning of the week.
